Manage and oversee all aspects of advancement services that lead to the data-informed decision making needs to achieve fundraising and engagement goals. This includes data management, policy and processes development and implementation, and complex reporting.

Specific Duties and Responsibilities include: 

  • Oversee the integrity, performance, and quality of data systems and constituent information while staying updated on the latest trends, developments, system updates, and best practices.
  • Serves as the primary systems/data analyst for Alumni & Development overseeing reporting and data needs that track fundraising progress, donor engagement, and campaign results while providing opportunities for improving strategies and outcomes.
  • Ensure compliance with all relevant regulations and ethical standards in fundraising, specifically CASE standards and IRS policies related to charitable giving.
  • Provides accurate and time-sensitive data and lists for surveys (DASL).
  • Over sees the production of lists for the Annual Report of Donors and an annual database rollover.
  • Collaborates with A&D staff for producing lists for events, appeals, and various mailings.
  • Develops, implements, and continually enhances policies and procedures to streamline advancement operations.
  • Supervises and mentors advancement services staff, providing guidance to support and enhance timely and accurate gift processing and acknowledgements, pledge recording and reminders, basic research, and proficiency in queries, exports, and custom reports.
  • Prioritizes and disseminates data projects as needed to assure timely updates to the database, including regular database audits performed through weekly queries and annual assessment.
  • Works closely with the Chief Advancement Officer, the Director of Advancement, the Associate Director of Advancement Services and Operations, and the Administrative Assistant to determine prospect assignments, track the movement of prospects through fundraising stages, and ensure the dissemination of Call Reports.
  • Trains and assists A&D staff in the general use of our data systems and recommends individualized virtual training sessions available through our vendors.
  • Trains and assists advancement services staff in advanced database functions and reporting and research needs. Recommends professional development opportunities.
  • Effectively collaborates with internal data stakeholders including Admissions, Business Office, Dean’s Office, the Veracross coordinator to ensure all records are accurate.
  • Serves as the point of contact between Information Technology and Alumni & Development.
  • Other duties as assigned by the Director of Development.

Qualifications:

  • A bachelor’s degree and 5+ years of relevant experience.
  • Experience in an independent boarding school environment is preferred.
  • Proficient in Blackbaud’s Raiser’s Edge and NXT.
  • Ability to use a wide variety of biographical, organizational and financial sources, including state-of-the-art online database services, websites, library, and government sources and other external repositories of public information to acquire relevant information.
  • Demonstrates proven success as a manager, leading teams to meet deadlines and goals and deliver accurate results.➢ Experience working with Boost My School, Windfall, Research Point, and Alumni Finder is a plus.
  • A proven track record of successful collaboration with internal and external stakeholders including, teammates, volunteers, and donors.

Additional Requirements:

  • Successful completion of post-offer, pre-employment criminal background checks, and drug tests.
  • Maintain punctual and regular attendance.
  • Work is performed on a smoke free campus.
  • Full-time calendar year position.
  • Must be able to work a flexible schedule as needed, including evening/weekend hours.
  • Some local travel within a three-hour radius may be required on occasion.
